Below are instructions for using the AGG SMART app on the TomTom Pro 8275


These instructions can be downloaded as a PDF to print out in cab here.


New Order Received

New orders will show as a red badge on the clipboard icon (they will also be read out on the tablet). To view the orders, click the clipboard icon.

Order List

You will see a list of orders on the tablet and their current status. Click the order you want to start.

Accept and Start Order

Now you will see an order summary screen with all the details of the order. There are now two button clicks to get the order started. Click the “Accept” button, then click the “Start” button. It is important that the order is “Accepted” and “Started” before you drive to the delivery location. This can be done as soon as you finish the previous job or are in the yard loading.

Navigating to the delivery location

Starting the order will take you to the navigation screen where a route summary is displayed. There may be a waypoint in your route to navigate you back to the depot to reload before taking you to the customer. Click “Let’s go” to enter navigation mode, or click the arrow to toggle navigation mode / route summary.

When you arrive on site, click the “Clipboard” icon again and click the order from the list.

TomTom Order Workflow

You will now get a step-by-step workflow to run you through the delivery process. The workflow steps are:

“Arrived at destination” > “Delivering” > “Finished Delivering” > “Order Complete”

Each step is progressed by clicking “Next Step”. And as each step is timestamped it is important to progress these steps at the correct time.

If you arrive on site early, do not progress to “Arrived on Site”. Only do this once you want your time on site to be stamped (and waiting time calculations to start).

Off road signature screen

If you are the first delivery on site (or the only delivery), you will be shown the off road signature screen. This is to be signed by the customer (or site foreman) BEFORE you attempt to bring the vehicle off road. The signee’s name is typed in at the top of the screen, or you can click the “GET” button to get the site contact from AGG SMART. But, to be legally binding, this name must be entered and match the signee.

The “Order” text will provide information on the order. If a credit card has been pre-authorised, you will be shown how much concrete you can deliver before the pre-auth amount is reached. If you reach the pre-auth amount, then the customer should call the office for a 2nd pre-auth before delivery commences.

If the customer requests additional water at this point, the “Additional Water” box can be ticked.

The “Terms and Conditions” can be made larger to read by tapping the text in the box.

The customer signs on the glass to accept the terms. Once signed, click OK and confirm.

Note: You MUST enter a signee name for the signature to come back to the office

Next Step

You can now return the TomTom to the cab and position the vehicle ready to deliver. Once set up and ready to deliver, click “Next Step” to progress the workflow to “Delivery Started”.

Once delivery is complete, click “Next Step” to move the workflow to the delivery complete stage.

Final Signature Screen

On the final signature screen you are entering in what you individually have delivered into the “Delivered” box on the left side of the screen. Then enter the “Signee Name” (or click GET to get the on-site contact from AGG SMART).

If you are not the last delivery on site for this job, you can just get the customer signature (enter BSI details and print off an optional receipt) and click OK to finish the order.

If you are the only delivery or the last delivery for this job, you need to click the “CALCULATE” button. This will do a live communication with AGG SMART and provide a grand total of concrete delivered and a full price breakdown (if it is a cash customer).

If the price details on the order need amending, they can be amended from the office and you can then press “CALCULATE” again to bring the new details down. And if you need to add any additional amount, you can enter this in the “ADDITIONAL” field and press “CALCUALTE” again.

If you are in a poor mobile signal area, then pressing “CALCULATE” might bring up the message “Please contact office”. If this happens, moving to a different area on the site (or out of any metal portacabins) usually helps. You can try pressing “CALCULATE” more than once to see if it gets a signal (but wait 10s between presses).

If it still cannot get a signal, you will need to call the office to get a total of the amount delivered and a total price. This then needs to be entered manually on the right column on the device.

“Total Delivered” is the sum of all the deliveries in the order. This will always be the same as “Delivered” for single delivery jobs. 

BSI Batch Screen

If you want to record batch settings, click the “BSI” button and enter the values. Some values may already be pre-filled for you.

Close the “BSI” box by clicking “OK” and ask the customer to read the terms and sign the screen.

Then you can click the “PRINT” button to print off a receipt on a Zebra Bluetooth printer (if required). The printer will need to be turned on at this time. If it is off, you may need to wait 30 seconds while it connects.

You can then complete the order by clicking “OK” and confirming. The order will be automatically completed and deleted.

Then return to the “Clipboard” and await the next job.

Closing the keyboard

Please note, that entering text into any field will brig up the keyboard. 

To hide the keyboard, click the arrow in the bottom left corner.

Changing screen brightness

Depending on battery life, the default screen brightness may automatically be reduced.

If you are in bright conditions and want to increase the brightness, click the arrow in the bottom right corner. Then click the icon shaped like the sun. Then slide the brightness slider all the way to the right.

 

Notes

  • Please do not SUSPEND or CANCEL an order on the tablet. All orders need to be amended and removed by the office staff.

     
  • You can put the tablet to “SLEEP” by clicking the button on top of the device. This is useful if you need to put the tablet in your pocket to take to the customer and don’t want to accidentally press buttons. To wake it up, just click the button again. You may need to go back into the clipboard to find the order again.

     
  • Please make sure Wifi is turned OFF during normal operation (as it can affect the 3G signal). This can be done in “All Apps” > “Settings”

     
  • If the job is a multiple drop, your tablet will show you which order you have been selected to do the drops in eg (1 of 4). If you are job 1 of 4 then you will be getting the first

     
  • If information is not coming back to the office form AGG SMART (delivered volumes and signatures), it is usually one of two things. A) Click on the AGG SMART Service app to make sure it is running (you will hear a jingle if it was not running and now is). B) Check the SIM card in the device has available data and has not become dislodged. You can check 3G data is working by turning off Wifi and using the browser to navigate to www.google.co.uk (if it loads, you have a data connection).
