1) Links to the three main sections of the system are in the top right corner. Customers /

Shipping / Tracking. First of all, you will need to add in some of your customers, so click the

"Customers" link.

 

2) On this page you can search for any existing customers and quotes by entering any part of

the customer name, telephone number or postcode

 

3) Click the "New Customer" button and a box will slide in. Fill out the details and click the

"Add" button. If you type the postcode before the address, it will give you auto‐fill

suggestions.

 

4) Once a few customers have been added, then you can search for one and click the "New

Quote" button.

 

5) A slide in will appear with details of the quote. Fill the detail in starting at the top.


6) Once you have entered the Mix Type and quantity, you can click the dropdown next to the

price and the automatic quote will show you the pricing options (this can also be manually

entered)

 

7) For the requested delivery date, click the "Calendar Button". This will automatically bring up

a snapshot of the shipping calendar so you can see the available slots for booking the job in.

Just click an empty box to select that date and time.

 

8) For the address, you can click "Copy" to use the customers address on file, or type in a

different address. After entering the address, you need to click "Check Location" which will

bring up a Google Map so you can pinpoint the exact location for the customer. This is useful

if the address is difficult to find as the satnav will take you to exactly the coordinates of the

dropped pin. If you do not want to use this feature in your live setup, we can remove it.

 

9) You can enter an email and/or a mobile number for a confirmation receipt to the customer.

This will be sent at the point of ordering, and the day before the delivery is due (as a

reminder to the customer to be ready).

 

10) Click "Add new quote"

 

11) You will now see the quote sitting under the customer information (all previous quotes and

jobs will be shown when a customer is searched for and the surname is clicked)

 

12) You can edit the quote by clicking the date link

 

13) You can pre‐authorise a credit/debit card for the quoted amount (plus 20% to cover over

delivery).

 

14) To turn a quote into a job, click "Create Job". This will then update the job status to

PENDING. If the job is over 9m3 it will be split into multiple loads of 9m3. On your live

system we can split on any load size.

 

15) If you click the PENDING button, the system will show a window with all the job information.

 

16) Click the "VIEW CALENDAR" button at the bottom of the window and it will take you to the

shipping page where the pending job is displayed at the top of the page ready to be

scheduled onto the calendar. This gives your shippers the opportunity to see all pending jobs

before dragging them onto the calendar in a way to suit your deliveries.

 

17) Drag the job onto the calendar. If it is not dragged onto the time that the customer

requested, a red clock symbol will show letting you know that you need to adjust the

position, or call the customer to let them know the new time. The status is now

UNCONFIRMED.

 

18) Clicking any job on the calendar will bring up the job info. Click the green bar at the top of

the page to confirm the job. The status is then updated to SCHEDULED.

 

19) Jobs can be dragged to different slots or times and the length of the job can be increased by

dragging the bottom of the box.

 

20) A job can be manually completed by opening the job details and clicking the AMEND ORDER

tab.

 

21) Reload reminders can be dragged onto the calendar from the top bar. This will block out a

time that the truck needs to come back to the yard to reload.

 

22) Notes can also be dragged onto the calendar from the top bar. Just drag on the note, resize

it, then click it to add details. This can be used for things like blocking out a day where a

driver is off (so no jobs can be booked against their slot).
